Speaker instructions
We have two modes of oral presentation:
Regular oral presentations:
15 minutes (maximum 12 minutes presentation, 2 minutes for discussion/questions)
Invited oral presentations:
30 minutes (maximum 24 minutes presentation, 5 minutes for discussion/questions)
All presentations are in principle regular presentations (15-minute timeslot). The speakers for the invited oral presentations are contacted directly by the Organising Committee. You can find the time slot of your presentation in the Conference Programme. The Conference Programme can be downloaded from 15 May 2025 here: https://www.luwq2025.nl/conference-programme/.
Emailing your presentation
Your presentation has to be sent by email to the organisation as Aarhus University prohibits connecting USB-storage devices to the presentation PCs. When ready, save the presentation as <abstractID_presenting author name_short title>. For example: 001_Thorling_IntroductionLuWQconf.pptx
The email address you must send your presentation to is info@luwq2025.nl
The presentation should be sent to the organisation before 2 June 2025, 10 AM, to facilitate preparation of the sessions in due time.
There will be the possibility to check your presentation at the auditorium during the conference.
PowerPoint Presentation Guidelines
The following guidelines may be helpful for you to prepare an attractive presentation:

The key points for your care are:
- that you do not put too much information on a slide (6 lines maximum),
- that you use a big enough font to make your slides well readable from the back rows (24 pt, Sans Serif or Arial are font types that are easy to read),
- that you do not use too many slides, so you may have enough presentation time for each slide.
The preferred PowerPoint slide format for the Aarhus venue is widescreen (16:9).
Poster instructions
As a presenter, you are responsible for the content of your poster, including any graphics. You may include symbols indicating “No Photography” or “No Recording” to protect your data. However, please note that the Organizing Committee cannot ensure the protection of preliminary or sensitive data.
Size + orientation:
- Maximum size is A1 (width about 0.60 m, height about 0.84 m)
- Please note: In earlier communication the size for posters was A0. This has changed, the correct poster size is A1.
- Your poster must be in portrait format, not landscape.
Format:
- Posters should be prepared and printed on one sheet or fabric.
- Add the ID number of your poster, for example "#206", in the upper-right corner of the poster.
- Avoid including too much information on the poster. Keep it easy and attractive to read.
- Font size should be sufficient for reading from 2-3 metres distance.
The posters should be removed by Friday 6 June, 12:00 AM
Poster pitches
All posters will be presented during the poster session on Thursday afternoon and displayed during the whole conference.
A number of posters have been selected for a poster pitch in an additional session.
Poster pitches may take 3-4 minutes, with 1-2 minutes for questions.
A poster pitch should include 3 slides as a maximum. Font size 24 pt. font type Sans serif or Arial.
A suggestion for the pitch is to start with your main findings and then inform the audience about the scope and set up of your study.
